Event Videography in Sydney: A Planning Checklist for Organisers

Events take months of planning and disappear in a few hours. A good event video extends their life: it promotes next year’s event, gives sponsors something to share, provides content for months, and lets people who couldn’t attend see what they missed.

Whether you’re running a conference, product launch, awards night or festival, here’s how to plan event videography that delivers.

Start with the deliverables

“Film the event” isn’t enough of a brief. Decide what you need afterwards:

  • Highlights video (1–3 minutes): the energy and key moments, for promotion and sponsors.
  • Full session recordings: keynotes and panels for attendees or on-demand access.
  • Social clips: short vertical edits, ideally delivered during or right after the event.
  • Interviews and vox pops: attendees, speakers and sponsors on camera.
  • Same-day edit: a highlights reel played at the end of the event itself.

The deliverables decide the crew size, equipment and edit schedule, so settle them early.

Share the run sheet

Give your videographer the detailed run sheet, the venue map and a list of must-capture moments: VIP arrivals, the keynote, the award presentations, the product reveal, the sponsor activations. Flag anything that happens simultaneously so the crew can be in the right place.

Get the audio right

For recorded presentations, audio matters more than picture. Arrange a feed from the venue’s sound desk before the day, and have lapel microphones as backup for key speakers. For interviews, find a quiet corner. Event spaces are loud.

Choose the right crew size

  • One videographer: fine for a highlights video of a smaller event.
  • Two or more: needed when you want full session recordings plus highlights, or when things happen in multiple rooms at once.
  • Multi-camera with live switching: for livestreams and polished session recordings.

Plan interviews and testimonials

Events are a rare chance to film many happy customers, speakers and partners in one place. Schedule interview slots in the program, prepare a few simple questions, and have a staff member bring interviewees to the camera. These testimonials often end up more valuable than the event footage itself.

Permissions and privacy

Let attendees know filming will take place, through registration terms and signage at entry, and provide a way to opt out, such as a coloured lanyard. Get specific consent for anyone featured in interviews, and check the venue’s rules on filming and drones.

Turnaround expectations

Agree timelines in advance. Social clips can be delivered within hours if an editor is on site. A polished highlights video usually takes a few days to a week, and full session recordings depend on the number of hours filmed.

Getting the most from the footage

  1. Post the highlights video within a week, while the event is fresh.
  2. Send sponsors their clips so they can share them too.
  3. Use session recordings as gated content to grow your email list.
  4. Use the highlights to sell tickets for next year.
